Lesson 3 – Adding Text, Images and Multimedia

This lesson explains how to add and format text, insert images, and include multimedia elements such as audio and video. These features help create engaging and effective presentations.

1. Adding text to slides

Text is usually added in placeholders provided by the slide layout.

  • Click in a placeholder to begin typing
  • Use short bullet points instead of long sentences
  • Use large, readable font sizes (minimum 18–24pt)

2. Formatting text

  • Bold for emphasis
  • Font size for visibility
  • Font colour for contrast
  • Alignment (left, centre, right)
  • Line spacing for readability

Good practice:

  • Use one or two fonts throughout the presentation
  • Avoid using too many colours
  • Ensure high contrast between text and background

3. Adding bullet points

  • Use bullets for lists
  • Keep each bullet short
  • Do not overload slides — aim for 3–5 bullets per slide

4. Inserting images

Images can make slides more engaging and help explain ideas.

Steps:

  • Select Insert > Pictures
  • Choose an image from your computer or online
  • Resize or move the image as needed

Good image practices:

  • Use high-quality images
  • Avoid stretching or distorting images
  • Keep images relevant to the slide

5. Formatting images

  • Resize using the corner handles
  • Add image borders or effects
  • Use cropping to remove unwanted areas
  • Apply picture styles (shadows, frames)

6. Text wrapping with images

In some presentation tools, text can wrap around shapes or images. In most cases, keep images separate to avoid layout issues.

7. Inserting shapes

Shapes can highlight information or create simple diagrams.

Examples:

  • Arrows
  • Rectangles
  • Circles
  • Callouts

Shapes can be formatted with:

  • Fill colour
  • Outline
  • Effects
  • Text inside shapes

8. Inserting icons and SmartArt

  • Icons help illustrate ideas simply
  • SmartArt helps create diagrams like processes or lists

To insert SmartArt, choose: Insert > SmartArt

9. Adding audio

You can add audio clips to a slide or the whole presentation.

  • Select Insert > Audio
  • Choose an existing file or record your own
  • Set playback options (on click, automatically)

10. Adding video

Videos can help explain content visually.

  • Select Insert > Video
  • Add a video from your device or online
  • Resize and position the video on the slide

Good practices:

  • Keep videos short and relevant
  • Check volume levels before presenting

11. Grouping objects

Objects can be grouped so they move together.

  • Select multiple objects (Shift + click)
  • Right-click → Group
  • Group text boxes, shapes or images

12. Practical Activity

  • Add a slide with a title and 4 bullet points
  • Insert a high-quality image and resize it
  • Add a shape and place text inside it
  • Insert a simple SmartArt graphic
  • Add a short audio or video clip to a slide
  • Group two objects and move them together
