Lesson 7 – Reviewing, Proofing and Final Checks

Before presenting or sharing a slide deck, it is important to review the content, check for errors and ensure the slides look professional. This lesson explains the final steps to prepare a presentation.

1. Spell check and proofing

Most presentation software includes tools to check spelling.

  • Click Review > Spelling
  • <liCorrect spelling mistakes across all slides

    <liCheck grammar and wording for clarity

Good practice:

  • Use simple language
  • <liAvoid long sentences

    <liCheck for consistent wording and terminology

2. Checking slide consistency

A presentation should look unified and professional.

Check consistency in:

  • Fonts
  • Font sizes
  • <liColours and backgrounds

    <liBullet styles

    <liAlignment of text and images

3. Checking slide order

Ensure slides appear in a logical sequence.

Use Slide Sorter View to:

  • Rearrange slides
  • <liGroup related topics

    <liRemove slides that are not needed

4. Checking transitions and animations

    <liUse simple transitions (such as Fade)

    <liAvoid animations that are too fast or distracting

    <liTest the slide show to ensure all effects work smoothly

5. Slide layout and spacing

Ensure slides are easy to read and visually balanced.

Check:

  • Headings clearly visible
  • <liText not too close to the edges

    <liImages not overlapping text

    <liEnough whitespace on the slide

6. Reviewing notes

    <liOpen Notes View to check speaker notes

    <liKeep notes clear and useful

    <liAvoid writing the entire script—use key points only

7. Hyperlinks and interactive elements

If the presentation contains links, test them before presenting.

    <liLinks to other slides

    <liLinks to documents or videos

8. Checking media playback

    <liEnsure audio and video files work properly

    <liCheck volume levels

    <liMake sure media files are included if you move the presentation to another device

9. Exporting and sharing

You can export your presentation in different formats:

  • PPTX – editable file
  • PDF – read-only version for printing or sharing
  • MP4 – converts the slideshow into a video (PowerPoint)

10. Practical Activity

  • Run a spell check on your presentation

    <liRemove any unnecessary animations
